China Factory Audit Checklist for Beginners: What to Check Before Your First Order

Placing your first order with a Chinese factory is exciting — and nerve-wracking. How do you know the factory is real? Can they actually produce what they promise? Will the quality match the sample? A factory audit answers all these questions. This beginner-friendly guide breaks it down into simple, actionable steps.

    What Is a Factory Audit?

A factory audit is a structured inspection of a manufacturer's facility, processes and documentation. It's conducted either on-site (someone physically visits the factory) or remotely (via video call and document review). The goal is to verify that the factory can actually deliver what they've promised — on time, at quality, and legally.

    When Should You Audit?

Always before placing your first production order. After receiving quotes and samples, but before sending any significant payment. If a factory refuses an audit, that's your first red flag.

The Beginner's Checklist: 5 Key Areas

    1. Is the Factory Real and Legal?

    • Valid business licence matching the factory name and address
    • Active export licence (check with local trade bureau)
    • Registered on the National Enterprise Credit Information System
    • Factory address matches Google Maps / Baidu Maps satellite view
    • Not a trading company posing as a manufacturer

    2. Can They Make Your Product?

    • Do they have the right machinery for your product type?
    • What's their monthly production capacity? (Ask for evidence, not just claims)
    • Do they have experience making similar products? (Ask for photos, not just descriptions)
    • How many production lines are running? Are they at full capacity?
    • What's their current lead time for a sample and for mass production?

    3. Do They Have Quality Controls?

    • Is there a dedicated QC department (not just the production manager "checking")?
    • Do they have testing equipment relevant to your product?
    • Do they hold ISO 9001, CE, RoHS or other certifications? (Verify, don't just trust certificates on the wall)
    • Can they show inspection records from previous orders?
    • How do they handle defects found during production?

    4. What Do Working Conditions Look Like?

    • Is the factory clean and organised? (A messy factory usually means messy quality)
    • Are safety measures in place — fire extinguishers, exits, protective equipment?
    • Are workers using proper tools and following procedures?
    • Is raw material storage organised and labelled?

    5. Are They Financially Stable?

    • How long have they been in business? (Under 3 years = higher risk)
    • Do they have consistent export history? (Check customs data)
    • Can they provide bank references?
    • Are they willing to use 30/70 payment terms? (If they demand 100% upfront, walk away)

    Red Flags to Watch For

    • Factory refuses an audit or keeps delaying it
    • The "factory" is actually an office or showroom with no production floor
    • Certifications are expired or can't be verified online
    • They claim to make everything from electronics to furniture (jack-of-all-trades = master of none)
    • No previous export experience to your region
    • Pressure to pay quickly or use non-traceable payment methods

Can You Do an Audit Remotely?

Yes. A remote audit via video call covers document verification, live factory walkthrough and Q&A. It's not as thorough as an on-site visit, but it's a strong first filter — especially for smaller orders. For orders above $10,000, an on-site audit by a professional supplier verification service is strongly recommended.
